Reporting
  • Global administrators can also select all users, active user or disabled users, not just a specific user, when generating an "Audit a user" report

Bug Fixes

Web Preview and Secure Shared Files

NOTE: Enterprise Edition users can only use the Web Preview feature for files stored in Syncplicity Cloud Storage

  • View document content online using the web browser without downloading the file
    • Accessible from shared link download page
    • Added browser support for Internet Explorer 9, 10 and 11
    • Continuous scrolling page navigation
    • Browser caching of preview content for performance (not applicable to protected files)
  • All Business, Department and Enterprise Edition accounts (including trials and paid subscriptions) will have the Web Preview feature available by December 30, 2014
  • All Personal Edition accounts (including free and paid subscriptions) have the Web Preview feature available

Secure Shared Files

  • Apply encryption and rights management protection to sensitive documents sent via secure shared links
    • Prevent unauthorized access to files even after they have been downloaded, copied, or forwarded
    • This feature is available for Enterprise Edition customers for cloud and on-premise storage
    • Enterprise Edition administrators can enable the Secure Shared Files feature in the Syncplicity admin console
  • Added support for Windows 8.1 viewing and editing of protected files
  • BETA release of Syncplicity Viewer for Mac that allows viewing of protected files

Document Controls and Rights Management

Role based permissions

Secure Shared Files applies rights management to files sent with Shared Links. Two roles (Reader and Editor) are configured by the admin to include the following permissions:

  • View protected files – All authorized recipients are granted this permission by default
  • Edit protected files – Allow or deny modifying and saving the file content
  • Print protected files – Allow or deny permission to print a document
  • Copy content – Allow or deny permission to copy content from the file
  • Watermark – If checked, all protected files have a watermark, which is visible when printed. For PDF documents only, the watermark is also visible when viewed on a monitor. Note: Watermark is not supported for Web Preview
  • Screen capture defeat – When a user views a protected document, the Syncplicity desktop plug-in disables the use of operating system screen capturing tools and some common 3rd party screen capture tools. When this box is checked, the user has the ability to temporarily turn off this feature and allow screen capture
  • Offline access – When checked, the user has the ability to access protected content when they cannot connect to the Server (for example, when they are traveling or out of the office). The Syncplicity administrator determines the amount of days the user can access the document while offline.

 

Geo-location restrictions

Syncplicity administrators can define the following settings on a company-wide basis:

  • Set location based restriction for protected files
    • Deny access from specified countries – If this policy is selected, the shared link downloads page cannot be accessed from any of the specified countries. The recipient cannot access the document while they are in any of the specified countries.
    • Allow access from specifed countries – If this policy is selected, the shared link download page can only be accessed from the specified countries. The recipient can access the document only while they are in the specified countries.

Group level policies for file sharing

Shared links access policy options:

  • The sender can decide whether to apply file protection
  • The administrator can require file protection for all shared links (for PDF and Office formats)
  • The administrator can require file protection for all shared links sent to external recipients (for PDF and Office formats)

File expiration policy option:

  • The administrator can enforce an expiration on protected files. Files cannot be opened after expiration

  • Who downloaded the document
  • Who opened the document
  • From which IP address the action was performed

Customers may leverage Syncplicity Cloud Rights Management Server or deploy their own on-premise Rights Management Server(s)

  • Configuration options are:
    • Cloud file storage and RMS in the cloud
    • On-premise file storage with cloud RMS
    • On-premise file storage with on-premise RMS
    • Hybrid deployment with on-premise file storage and cloud file storage
