Folder sharing policies

Outgoing Folder Sharing Policy

Set this policy in the Admin Console under Policies →  Security → Folder Sharing → Outgoing  Folder Sharing Policy. 

This policy is used to control the sharing of folders with users outside of your organization. Depending on your settings, this policy can prevent unwanted sharing of company information. 

The following options are available for controlling outgoing folder sharing:

  • All - Sharing is allowed with all external users.
  • Specific Domains - Sharing is allowed with defined set of affiliate domains.
  • External Domains - Sharing is allowed with defined set of external domains (only visible when a specific domain has been provided).
  • None - Restricts external folder sharing. Only your company's users can share folders with each other.

You can also set additional sharing restrictions by specifying one or both of the following for each of the options:

You can also override the permissions of outgoing shared folders to SyncDrive folders and/or Paid accounts (Enterprise Edition and Business Edition). 

  • SyncDrive Only
  • Paid Accounts (EE and BE) Only  

Select All to allow sharing all external users

Select Specific Domains and enter at least one valid specific domain where outgoing sharing will be permitted.  This allows collaboration with a trusted list of users (termed as Affiliate).

If applicable, select Add External Domains to define external domains (can be either Specific External or All External based on the defined list of domains).

 

Select None to prevent any external sharing of outgoing folders.

Incoming Folder Sharing Policy

Set this policy in the Admin Console under Policies →  Security →  Folder Sharing →  IncomingFolder SharingPolicy

This policy can be used to control whether users can receive shared folders from users outside of your organization. Depending on your settings, this policy can prevent unwanted sharing of company information.The following options are available for controlling incoming folder sharing:

  • All - Incoming Sharing is allowed from all users.

  • Specific Domains - Sharing is allowed with defined set of affiliate domains.

  • None - Incoming folder sharing from external users is not allowed.

You can also set an additional control for incoming shared folders from external companies to Enforce read-only permissions on external folders (Reader only permissions). 

Select All to allow incoming folder sharing from all users.

Select Specific Domains and enter at least one valid specific email domain to which incoming folder sharing will be permitted. This allows collaboration with a trusted list of users (termed as Affiliate).  

Select None to prevent incoming folder sharing from external users.

Manage Folder Participants Policy

Manage Folder Participants Policy

Set this policy in the Admin Console under Policies → Security → Folder Sharing → Manage Folder Participants Policy.

This policy provides external folder resharing restrictions if in the Outgoing Folder Sharing policy settings you have allowed your company users to share folders with users outside your organization. Depending on your settings, this policy can prevent unwanted sharing of company information. 

The following options are available for controlling external folder resharing:

  • Allow folder resharing by default - Allows external participants of a shared folder to share your company user's folders. 
  • Allow external users to manage participants - Allows external participant of a shared folder to view and invite new participants.
  • Only when they have editor permission - Allows external participants of a shared folder to view and invite new participants ONLY if they have Editor permissions.

By default, all options in this policy are disabled. This prevents all external participants of a shared folder from viewing or inviting new participants to company owned folders.

Share Naming Convention Policy

Set this policy in the Admin Console under Policies → Collaboration → Sharing → Share Naming Convention Policy.

This policy is primarily used for additional folder naming options when sharing with other users or groups. The policy provides the option to add the owner of the folder's name to the name of the folder being shared. This option provides easier identification of a folder when a folder with a similar names exists. The policy is applicable only for syncing shared folders in desktop clients. 

  • By default, when users accept a Syncplicity share on their computer, the Syncplicity service appends the share owner's name, in parentheses, to the name of the Syncplicity share. This makes it easier to find shares by a user; although, it alters the name of the local share so it no longer matches the name of the Syncplicity share exactly.
  • This policy setting allows you to disable this behavior; therefore, the name of the local share is always the same as the original name of the Syncplicity share.
