Viewing and Editing files in Microsoft Office Online

Introduction

Microsoft Office Online is the web-based versions of Microsoft Word, Excel, and PowerPoint. With Microsoft Office Online you can view and edit Office documents without needing Office installed on your desktop. Syncplicity is directly integrated with Microsoft Office Online allowing for a seamless experience when editing Syncplicity documents in Microsoft Office Online.

The highlights of this feature are:

  • Open and view Office files in Microsoft Office Online directly from Syncplicity
  • Supports Microsoft Word, Excel and Powerpoint documents
  • Supports collaborative editing
  • Files from Desktop to Browser and vice versa.

Microsoft Office Online integration is available for all Syncplicity users. Personal Edition users have access to Microsoft Office Online without the need for any Microsoft subscription while Business and Enterprise Edition users require a Microsoft subscription to Edit files online, viewing is available without a subscription.

For Business and Enterprise Edition the company Administrator will need to activate the integration in the Company Settings. Users will be required to authenticate with Office Online before editing documents in Office Online. Refer to Enabling Microsoft Office Online integration topic to integrate the Microsoft Office.

Viewing and Editing in Microsoft Office Online supports the following file types.

Viewing the file in Microsoft Office Online

You can view the file from the Syncplicity folder by opening it in its native application. It allows you to simply click on a file in your account and view it directly within the Syncplicity. Viewing the file in Microsoft Office Online is also available for users accessing file through shared folders. When a recipient clicks a shared file, they will be able to view and edit the file without downloading it.

To view the file in Microsoft Office Online, follow the steps below:

  1. Log on to Syncplicity account with your credentials.
  2. In the home screen, click the files menu on the navigation panel. The Files page is displayed.
  3. In the Files page, click the desired folder and then select the Microsoft Office file that you want to view.

  1. By selecting the file, Syncplicity allows you to open the file in the following ways:
      • From the file name
      • From the right-click option
      • From the navigation bar
  • To view the file, choose the file name and double-click on the highlighted file name.
  • To view the file from the right-click options, follow the steps below:

 a. Select the file and right-click on the file name and then choose the View in Word Online from the          options. See Figure 1: Viewing the file in Microsoft Office online

Syncplicity displays the file in Microsoft Office Online.  In the example, the Figure 2: Viewing the File displays the selected file in .docx format and it opens it in the Word Online.

  • To view the file from the navigation bar, follow the steps below:

a. Select the file and click the View icon in the navigation bar.

               Syncplicity displays the file in Word Online. See Figure 2: Viewing the file in Microsoft Word Online.

           Note: After the document is displayed in the browser, you can perform other actions like navigating                        back to Syncplicity folder, Editing, Print, Exit, Find, and so on as supported by Microsoft.

  1. To navigate back to the Syncplicity, click the Syncplicity folder name on the menu bar to return to the enclosing folder or click on ‘Syncplicity’ to return to your top-level folder in Syncplicity. 

Editing files in Microsoft Office online

You are also able to edit Microsoft Office documents from Syncplicity using Microsoft Office Online. It allows you to edit and annotate the content. Editing the file in Microsoft Office online is also available for users accessing file through shared folders.

To edit the file in Microsoft Office Online, follow the steps below:

  1. Log on to Syncplicity account with your credentials.
  2. In the home screen, click the files menu on the navigation panel. The Files page is displayed.
  3. In the Files page, click the desired folder and then select the file that you want to edit.
  4. By selecting the file, Syncplicity allows you to edit the file in the following ways:
    • From View window
    • From the right-click option
    • From the navigation bar 
  • To edit the file from view window, follow the steps below:

            a. In the Files pages, select the file name and double-click on the highlighted file name.The file is                      displayed in Microsoft Office Online viewer.

            b. Click Edit in Browser as shown in the Figure 3. In the figure below, we have shown you the                         Microsoft Word file as example.

            c. Click the Sign In with work or school account, as shown in the Figure 4 below.

           The Microsoft Office 365 Login page is displayed.

          d. Type the valid login credentials and then click Sign in. The file opens in the Syncplicity                                 environment browser with editing features.

Note: The working document automatically is saved as the changes are made.

  • To edit the file from the right-click options, follow the steps below:

         a. Select the file and right-click on the file name and then choose the Edit in Word Online from the                  options.

            Syncplicity displays the file in Microsoft Office Online. In the example, the Figure 4: Editing the File                displays the selected file in .docx format and it opens in the Microsoft Word Online.

         b. Follow the steps C and D mentioned in the To edit the file from view window.

  • To open the file from the navigation bar, follow the steps below:

         a. Select the file and click the Edit icon on navigation bar.

             Syncplicity displays the file in its Microsoft Word Online. In the screen shot example, the file is a                    .docx format and it opens in the Microsoft Word Online.

         b. Follow the steps C and D mentioned in the To edit the file from view window.

         Note: The working document automatically is saved as the changes are made to it.

  5. To navigate back to the Syncplicity folder, click the Syncplicity folder name on the menu bar.

Saving the file in Microsoft Office Online

As the file is viewed and edited by the users, the document behaves exactly the same way as installed application. It automatically saves the changes made to the document. While editing through this feature it records the reviewer and author names. The browser displays a message next to the file name as “Saving…”  and after it saved it displays “Saved to Syncplicity”.

Collaborating with team

Syncplicity supports collaborative editing of files in Microsoft Office Online. Multiple users working on the same shared documents can work together by collaborating in real time by making edits on the same document.

Just share the folder or files with the recipient through Syncplicity and invite your collaborators—they’ll be able to access and edit the latest saved file, anytime and anywhere.

While editing the document in Microsoft Office Online with Syncplicity, the owner and recipient can view their names displaying during the edits next to their cursor.
